Booking Guidelines

All bookings will be for 40 minutes.

Courts can be booked, or cancelled, as follows:

– Book in advance – on-line via the West Warwicks website, using the touch screen at the club or by phone with reception

– Book on the Day – using the touch screen at the club only

Members will only be allowed to book one court per day at Peak Time (Monday to Friday 4pm to 9.30pm) and will not be able to book back to back/consecutive courts.

The on line system can be accessed 24 hours a day via the West Warwicks website and during club opening hours via the touch screen at the club.

Courts will be available when the clubhouse is open – normal opening hours are 9am to 11pm Monday to Friday, 8am-11pm Saturday and 9am to 10pm on Sunday, with variations on Bank Holidays (see Club website for details).

 

Book in Advance (Courts 1, 3 and 4)

There are three courts which are available to book in advance:-

– Courts 3 and 4 are available to book 7 days in advance. Bookings can be made exactly 7 days in advance so, for example, you will be able to book a court for Tuesday 7pm at 7pm on the previous Tuesday.

– Court 1 is available to book 8 days in advance.

These three courts can be booked at the club and on line via the West Warwicks website.

 

Book on the Day at the Club Court (Court 2)
There is one court which is available to book on the day.

Court 2 will be available to book from 9am on the day (online, at the club or by phone)
These courts can be viewed on line so members can check how busy the courts are before traveling to the club.

Court Times
The court times will be staggered, for example:-
– one book in advance court will be at 7pm
– the other two book in advance courts will be at 7.20p

– the time of the courts on Court 4 will change to be the same as Court 3.

How to Book
To book a courts each member will need their membership number (on your access card) and password. Members will be sent an email with details of an initial password and this can be changed to a password of the members choice. Members will need their membership number and password to log on, check what courts are available and to then book or cancel courts. If you know the name of your opponent this can be included when making the booking.Once you have booked a court you will get an email confirming the booking. If you have input details of your opponent, they will also get an email confirmation. You will also get an email reminder on the day of your booking. The system also keeps a record of all your bookings, so you can see your future bookings at a glance.

Cancellations
If you need to cancel a court because you cannot play, you can do this either via the touch screen at the club, on line via the West Warwicks website or by phoning reception on 0121 706 3594.

Check in – Courts 1, 3 and 4
When you arrive to play, you will need to “check in” on the Touchscreen at the club to confirm you have arrived. If you are running late, this can be done after you have played but must be done within 2 hours of the court start time. Please note that this can only be done at the club. This is very important as it will help us monitor “no shows” – see below.

Reducing “No Shows”

With increasing numbers of members we need to make the best use of our courts. One thing that will help us with this is for members to cancel courts if they can’t play. We would encourage members to cancel as early as possible to allow the court to re-booked by other members.

To help us reduce the number of “no shows” – where a court has been booked but no on turns up to play – the committee will get a report of people who book a court and fail to check in. If you fail to turn up for two courts in a 30 day period, you will not be able to book courts for the next two weeks.

Password Re-sets

If you forget your password, you will need to click on the Forgotten Password button and you will be sent an email with your password.

Email Confirmations, Reminders and Notifications

Members can chose whether to receive email confirmations and reminders for their bookings. They can also chose whether to receive notifications of peak time cancellations. Members can change their email preferences by accessing “Your Details” when logged onto the system. For example, if you don’t want to receive emails about peak time cancellations while you are on holiday, log on, access “Your Details” and remove the tick from the email peak time notifications box. When you are back from holiday you can click on the box so a tick appears and you will start to receive notifications again.

Booking by Phone
If you are unable to access the on-line system, either at the club or via the internet, you can phone reception on 0121 706 3594 and they will be able to access the system on your behalf to book or cancel a court. You will need to provide your membership number.

Block Bookings

Block bookings will be entered onto the system centrally and will show what the booking is for e.g. Mens First Team Match, Adult Improvers Coaching Course, ……..
